TENDER NOTICE
ADDENDUM NO. 1
TENDER FOR PROVISION OF LEASING OF MULTI-FUNCTIONAL NETWORK DUPLEX PRINTERS AT KeRRA HEAD OFFICE

Addendum No. 1 Printing Services 28.02.2026
Reference is made to the Tender Notice that appeared in the MyGov Edition Star Newspaper dated 10th February 2026 and the Long Advert dated 11th February 2026.
a). Interested Bidders are requested to note the following clarifications and amendments;

| 1 | Total number of printers – confirmation whether required units are 24 or 25 as referenced in different sections of the tender document. | The total required quantity of printers under this tender is Twenty-Five (25) units, and this figure shall take precedence over and supersede any other quantity references appearing elsewhere in the tender document.

| 2 | Alignment between specified printer speeds (e.g., 80 PPM mono and 30 PPM color) and the stated cumulative monthly volumes (100,000 mono and 30,000 color copies). Clarification whether alternative speed ranges may be considered for commercial viability under a 36-month lease model. | Monochrome Machines: The minimum print speed has been reviewed and standardized to 40 Pages Per Minute (PPM) in line with the revised technical requirements.
Colour Machines: A print speed range of 20 PPM to 40 PPM shall be considered acceptable, provided the proposed equipment fully complies with all other mandatory technical specifications and performance requirements. |
| 3 | RAM and storage specifications – confirmation whether a range (e.g., minimum 2GB up to 6GB depending on category) and equivalent storage specifications are acceptable. | Equivalent RAM capacities ranging from 2GB to 8GB, and corresponding storage configurations, shall be accepted provided they demonstrably meet or exceed the prescribed functional, performance, and operational requirements of the tender specifications. |
| 4 | Brand/model reference on page 67 – confirmation whether the tender is open to all equivalent brands meeting or exceeding the technical specifications. | This tender is open to all equivalent brands, provided the proposed products fully comply with, meet, or exceed the stated technical specifications, performance standards, and quality requirements outlined in the tender document.
Delete Brand name given under page 67. |
| 5 | Form of Tender and Price Schedule – clarification whether pricing should be structured for 12 months or reflect the full 36-month contract period. | The Contract Duration shall be for 36Months with a possible extension for a further 12Months subject to approval as guided in GCC/SCC clause 13.1.
Pricing shall however be submitted strictly on a twelve (12) month basis, in full conformity with the requirements stipulated in the Form of Tender. Any deviation from this pricing structure may render the bid non-responsive. |
| 6 | Request for Extension of Submission date to accommodate the clarification responses | The submission date is hereby revised from 4th March 2026 to on or before 6th March 2026 at 11:00AM.
Bids not received at the submission venue by the closing date and time will not be accepted for opening and will be rejected and returned unopened. |
b). Clarifications and amendments made through this Addendum shall take precedence.
c). Bulky tenders which do not fit in the Tender Box shall be delivered to the Supply Chain Management Office located on the 3rd Floor, South Wing, Barabara Plaza, Block B.
d). Interested Bidders are required to continually check the Authority’s website: kerra.go.ke for any tender addendums or clarifications that may arise before submission date.
e). Bidders with enquiries are encouraged to do so vide the email address procurementhq@kerra.go.ke.
f). All other information pertaining to the tenders remains the same.
